The Challenge
Little Stars Nursery in North London was using a mix of paper records and WhatsApp for daily communication. When Ofsted announced an inspection, the manager spent three days pulling together documentation — incident records, health information, attendance data — that should have been instantly accessible.
The Solution
Switching to Pebblhub meant all documentation was centralised, structured, and exportable. The next Ofsted inspection took a fraction of the prep time, and the inspector commented positively on the quality of record-keeping.
Before Pebblhub
Little Stars had 52 children across three rooms. Documentation was split: attendance in a digital register, incidents on paper, daily logs in physical diaries that parents could look at during pick-up.
When Ofsted called, the manager spent the first day just locating and organising records. Incident reports from the previous 12 months had to be pulled from a filing cabinet and cross-referenced against the children's files. Health records were partly digital, partly paper.
It wasn't a failing — everything was there. But finding it and presenting it clearly took three days of work that no one had budgeted for.
The switch
The nursery moved to Pebblhub over a half-term break to minimise disruption. All children's records were migrated in advance; staff were trained over two sessions.
Parent onboarding was run via a letter home with a QR code linking to the app download. Within three weeks, 94% of families had activated their accounts.
Ofsted, second time around
The second Ofsted inspection came 14 months after going live on Pebblhub. The manager's preparation time: two hours.
Every incident report was in the system, complete with the admin review timestamp. Attendance data was exportable in minutes. Health and allergy records were current and linked to each child's profile.
The inspector reviewed the incident log and commented that the documentation standard was "clear and thorough."
The bigger picture
Beyond Ofsted, the shift to structured digital records changed the day-to-day feel of the nursery. Staff weren't tracking down paper forms. Parents weren't messaging for updates. The manager had time back in her week that had previously gone to admin.
"It sounds simple," she said. "But when your documentation is organised, the whole nursery feels more organised."
The next time Ofsted came, I wasn't stressed about the paperwork. Everything was there — timestamped, reviewed, complete. It took me two hours to prepare, not three days.
